The standing rules
Four sentences that do not bend
Published verbatim in our official Wire Fraud Warning, printed into our process, and operated on every file. If a message you receive contradicts any of them, the message is the problem.
RULE 01
We deliver wiring instructions through secure channels and confirm them verbally.
RULE 02
Our wiring instructions DO NOT CHANGE during a transaction. Any message saying otherwise is an attack.
RULE 03
We never accept or act on instruction changes received by email or text alone.
RULE 04
We verify disbursement instructions by callback to independently confirmed numbers.

The mechanics
How funds move on a Milestone file
Escrow is not a checking account with a nicer name. From the moment a deposit lands to the moment proceeds disburse, the money travels through controls — in order.
Segregated escrow trust accounts
Your deposit and cash-to-close are held in segregated escrow trust accounts — client funds kept apart from company operating funds, disbursed only against the settlement statement your file balances to.
Three-way reconciliation discipline
Bank balance, book balance, and every individual file ledger must agree — reconciled on discipline, with positive-pay style bank controls so the account honors only what the ledger authorized.
MFA and role-based access
Multi-factor authentication and role-based access govern our systems: staff see what their role requires, administrative access is audited, and speed never outranks verification.
Encrypted uploads, private storage
Documents travel encrypted and land in a private, non-public storage bucket with type and size restrictions enforced server-side — there are no public links to client documents, period.
Wire instructions live inside the portal
Wiring instructions are delivered inside the authenticated portal — never as email attachments. That is enforced product behavior, not a policy memo — and it is why an emailed “instruction update” can never be legitimate.
Callback before a dollar moves
Callback verification on independently confirmed numbers before funds move on the strength of any instruction — a human voice confirms every disbursement instruction before execution.

Will Milestone Title ever email me new wire instructions?
No. Wire instructions are delivered inside the authenticated portal and confirmed by callback — never as email attachments. Any email claiming our instructions 'changed' should be treated as an attack and reported to us by phone immediately.
Is a cashier's check safer than a wire?
Not inherently — counterfeit cashier's checks are their own fraud category, and many closings require wired funds. The safety is in verification discipline, not the instrument. Follow the callback rule and both are manageable.
What happens in the first hour after a fraudulent wire?
Call your bank's fraud department and request a recall and hold, call us, and file at the FBI's Internet Crime Complaint Center (ic3.gov). Banks and the FBI operate recall and rapid-response mechanisms whose reach depends on how fast you move — speed matters more than anything else. How is the information I submit through this site protected?
All traffic is encrypted with TLS, and uploads are transmitted encrypted into a private, non-public storage bucket with type and size restrictions enforced server-side. Database access is governed by row-level security: public forms can submit but cannot read, and portal users can read only their own records. There are no public links to client documents, period.
Money moves on every closing. Yours should move protected.
